Since tax season is just around the corner we have dedicated this issue to you and your taxes - giving you tips, links, and information that you can use to start your taxes, file them on time, and create systems to make tax filing easier for years to come.

Sometimes it's the 'getting started' that's the hard part - not just with taxes, although that is a great example, but with getting organized overall. The dictionary definition of procrastination is to delay until an opportunity is lost. But, why do we procrastinate?

You may not realize this but procrastination can be caused by sleep deprivation. Just think about trying to complete the smallest task when you're tired - it seems huge, overwhelming, almost unachievable. In 1910, the average person slept 9 hours per night. By 1975 this had decreased to 7.5 hours and by 2000 it had decreased further to 6.9 hours. (Source: Sleep is Key to Health by Dr. Joseph Levy, Condominium Life, Winter 2004/2005)

Recently, I was in conversation with the hypnotherapist who assisted me in having a natural birth with my second child. She offers hypnotherapy for many types of needs and we have often discussed the different types of disorganization that people experience and the ways in which we can help them overcome their challenges. Shawn says, "I am not a psychiatrist and cannot provide care to anyone with a serious illness, but certainly hypnosis can be helpful for anyone that has blocks to letting go of stuff." Any of the thought field therapies (i.e. EFT) can work wonders with this as well.

Shawn shared the beginning of a case study with me: "I have a client who came to me for motivation regarding procrastination. While talking to him, there were some clues that suggested that he might have a sleep problem (waking when tired, snoring, etc). I asked him to get it checked out - sure enough he stopped breathing dozens of times in the night and has serious sleep apnea. I think when his energy returns due to improved sleep, his procrastination will be easier to resolve."

Eliminating Time Wasters

It seems so obvious when we talk about “it”. “It being the proverbial ‘time’ and how to save ‘it’. We know there are simple techniques on how to save ‘it’ and manage ‘it’ better – heck, there are hundreds of books written about ‘it’. And yet we often find ourselves at the 11th hour wondering where ‘it’ has gone.

Below are 13 common ‘it’ wasters from Tony Allesandro.

Time wasters come from the people around you as well as from within yourself. Some time wasters are unavoidable, but reducible nonetheless. Identify the most frequent sources of time wasters in your day. As a means of comparison, we've included a list of time wasters. Many researchers find the same handful at the top of their lists, which indicates that they are problems common to all of us:

1. Scheduling less important work before more important work.
2. Starting a job before thinking it through.
3. Leaving jobs before they are completed.
4. Doing things that can be delegated to another person.
5. Doing things that can be delegated to modern equipment.
6. Doing things that actually aren't a part of your real job.
7. Keeping too many, too complicated, or overlapping records.
8. Handling too wide a variety of duties.
9. Failing to build barriers against interruptions.
10. Allowing conferences and discussions to wander.
11. Conducting unnecessary meetings, visits, and/or phone calls.
12. Chasing trivial data after the main facts are in.
13. Socializing at great length between tasks.

"Can I write that off?" is a very common question from business owners with the next question being, "when is that due?". So here is the condensed version of allowable business expenses and common deadlines as well as a plethora of sites to assist you with your inquiries.

Allowable Business Expenses

  • You must be able to prove to CRA that the expense is directly related to the operation of your business
  • Normally, allowable expenses include office supplies, business insurance, advertising and promotional materials.
  • Meals and entertainment are an area to be careful of. Write the names of the people at the meeting on the receipt. Only 50% of the GST paid on a meal is allowable for credit.
  • Auto - you are allowed to deduct your auto expenses incurred for business purposes only
  • You should keep a mileage log book of business km driven
  • Keep all vehicle related receipts

It seems that with the new year comes an abundance of articles about getting organized. There are hundreds of books, systems, tip sheets, and manuals but sometimes there are challenges that are not easy to discuss nor easy to identify by an average, organized person.

The two issues, however different, that I am referring to are hoarding and Alzheimers. These are the two that seem to leave family and friends feeling helpless. These are the two that are not your typical dinner conversation yet exist in many peoples lives. These are two issues that aren't curable by a weekend purge of a team of well meaning friends.

There is still much to be understood about hoarding and Alzheimers. My personal experience with Alzheimers was in a downsizing situation where I learnt very quickly that it is a debilitating disease. It is difficult to admit that a parent or loved one suffers from Dementia or Alzheimers, however, if you are trying to declutter their living space or downsize their accommodations, the more you know about the disease the better off you will be.

What is the difference between a hoarder and a clutterer?

  • Hoarder:
  • Someone who Hoards has a psychiatric condition that affects less than 1% of the population
  • The person obsesses over his/her stuff and will most likely not find a solution unless professional help is sought
  • The collected stuff will cause serious distress and discomfort and will limit the person's ability to make good use of their house or rooms
  • They will not take out the trash and will often keep about anything
  • Clutterer:
  • Someone that lives amongst clutter accumulates without much thought and would probably be able to make the changes themselves if motivated enough to do so
  • Often this will never get to such an extreme point as to debilitate the person's freedom and comfort
  • They will be able to take out trash and throw things away if given enough reason

Keep all receipts that pertain to your business. The government requires a paper trail. Envelopes are helpful. Label them by month and year or by category: meals and entertainment, office supplies, etc. Your filing system can be labelled the same.

Create an excel file to track all of your passwords, user names, etc. It's easily accessible and contains everything. I would label the spread sheet something other than "all my passwords" and more than likely no one will ever find your information. This idea beats forgetting your pass codes and user names!

Keep a sticky note pad and a pen on the dashboard of your car. You can easily jot down things that you remember while driving (write them down at the red lights!) and then transfer them to your day planner when you arrive safely at your destination.

Give yourself adequate filing space and create a file for all paperwork. This means that no matter how much paper comes into your home or office, everything will have a place for it to be filed. Unless you can recycle it first!
