Is That Onion Still Good?
* HOME

Have you ever opened your kitchen cupboard and realized that your spices or dried goods have been there for quite some time? How long should you keep these items? How long do your spices maintain their flavor?

Here are some guidelines to help you get the food in your kitchen up to date.

Oils
Vegetable oils last for approximately 6 months when stored in a cool dark place. Nut oils last 3 months but should be refrigerated.

Vinegars
Red wine, white wine and aged balsamic can last up to one year when stored in a cool, dark place.

Beans & Grains
Lentils, peas, and beans can be stored for up to one year. Cornmeal should be stored in the freezer for freshness.

Baking Ingredients
Extracts last several years and leaveners lose their potency after approximately one year.

Sugars
Store in well sealed containers. Double wrap brown sugars to keep them moist or add a slice of brown bread to soften up hardened sugar.

Vegetables
Onions and garlic last approximately one month in the pantry. Dried mushrooms will last several months.

Spices
Store in airtight containers away from light and heat. Spices will lose their flavor naturally after approximately one year or faster if stored improperly.

How To Plan Your Life
* TIME
daytimer

The new-year is around the corner and the stores are bursting with great new ways to plan your life. And how many day timer options can there really be? Trust me when I say that whether you choose a PDA or a hard copy day planner, the important thing is that you use it.

You can’t blame the day timer when January rolls around and you are still behind the eight ball on organizing your time.

Here are some things for you to think about when prepping to plan.

If you prefer a day planner that you can write in, then consider getting a week at a glance – you can see your whole week at one turn of the page and by the years end you will have turned the pages a few hundred times less than if you had a day at a glance. Whether you choose a day planner or a PDA you will save time and avoid missed commitments by putting all of your professional and personal commitments into the same planner: dinners, vacations, family activities, school events, personal time, etc. Using your day planner will help you spend your time more effectively.

Follow these valuable time management tips from “Getting Organized” and “The Organized Executive” and “Kaos Group”

1. Set Goals: write down your goal. Goals must be useful, measurable and attainable. Evaluate your goals daily and visualize your goals.

2. Avoid procrastination: this is the one time waster of which you have control. Keep it under control by:

  • Slicing the task into manageable pieces
  • Getting a clear picture of the task by discussing it with others
  • Designating interim completion points
  • Setting a deadline for completing the project

3. Learn to handle interruptions:

  • If it’s necessary, handle immediately
  • If it’s unnecessary, stop it or avoid it
  • If it’s untimely, reschedule it.

4. Manage your telephone time:

  • Screen your calls
  • Leave precise messages
  • Use automatic dialling to save time
  • Return calls before lunch or the end of the day
  • Keep a phone log in your planner to record decisions and discussions.

5. Conquer paperwork: Use the Kaos Group Core Fore (TM) system: To Do, To Pay, To File, To Read/Review . This system will allow you to organize your paper work until you have scheduled time to complete the necessary tasks.

6. Plan shorter, more effective meetings:

  • Allocate the appropriate amount of time necessary
  • Distribute a meeting agenda at least one day in advance – don’t overload the agenda
  • Start meetings on time even if participants are not present
  • Keep meetings under two hours, beyond that concentration suffers
  • Issue minutes promptly
  • Only attend meetings if necessary
  • Conduct phone meetings when possible to save on travel time.

Do You Have Piles of Files?
* OFFICE
mag bag

Filing systems, filing systems, filing systems, filing systems – paper piles are a problem when an effective filing system is non-existent. People generally resist filing their papers away for a few common reasons. That’s right, you are not alone!

  • I know exactly which pile it’s in
  • I will never find it if I file it away
  • My filing cabinet is full
  • I don’t know where to start

Start the Core Four (TM) system in your home or office today. Create a folder with each of the following titles on it: To Do, To Pay, To File, To Read/Review. Place these folders in an upright way so that as mail comes in it can be put into one of the Core Four (TM) folders. If you aren’t a folder type person then label four trays. They should be stackable for best use of space or use wall hanging trays. The important thing here is to pick the “style” that suits you and start the system. Now, you can go through your office picking up all the loose papers and file them into one of the four files.

Now it’s time to create your filing system so that those piles can be filed! Here is list of suggested file names to help you begin to tackle your filing system. www.kaosgroup.com/tips.htm. Remember to keep your ‘office documents’ separate from ‘office expenses’ and both of those should be kept separate from ‘personal’.

Before you start:

  • Schedule time for this project in your daytimer. Three hours is a good time frame.
  • Have all the resources you need to start. The basics include: hanging file folders, sub folders, tabs (legal size), labels (Avery 8366 fit perfectly), sticky notes, and a bankers box to transfer archived files into.
  • Don’t allow yourself to get sidetracked by the “oh, that’s where that was" paperwork that you will inevitably come across. Just put stuff that you realize is an action item into your To-Do folder and review your To-Do folder each day
  • Stay focused. That’s what I do when working with my clients – keep them focused and working towards the goal, which today is creating filing systems and clearing the paper piles.
  • Download the 100+ Filing Suggestions at www.kaosgroup.com/tips.htm. Check off the label suggestions that are appropriate for you and start creating your files.

What items do you use to keep your office organized? We would love to know. Drop us a note by emailing your comments to: info@kaosgroup.com

If you can’t, don’t want to, or prefer not to do this project on your own, contact Kaos Group at 416.347.9002 or visit www.kaosgroup.com to find out more about the professional organizing services available.

The Perpetual Calendar Will Set You Free
* SPIRIT

The perpetual calendar is the one place where you can track all the important dates that occur each year. Not sure how to create one? Well that is why we are here! Our simple solution is to create one using MS Excel, and then you can add to it as your perpetual calendar grows. Here is how:

Open a new Excel spreadsheet and insert into the first row (the horizontal cells) each month of the year. You will now have a column for each month. Under each month write the appropriate date with the name of the person beside it. After their name include a capital B indicating birthday or a capital A indicating anniversary. For example, under the January column, your first entry might be “13 Serena B” which means that on January 13th it is Serena’s birthday.

Change the layout of your page to landscape then print the document and tape it to the back of your annual calendar. You can then transfer the information from your perpetual calendar to your active annual calendar in approximately 15 minutes. If you want to go one step further you can transfer the names onto your annual calendar and highlight them so at a quick glance you know what special occasions are happening that month.

Send an email to Kaos Group directly for the spreadsheet to get you started.
